AWG Board of Directors Meeting

Hi everyone!
Plans for the Fall 2005 BOD meeting are underway. We need your help to make sure that information is available before the meeting and to coordinate travel to the hotel. PLEASE return your registration PROMPTLY!! Many thanks for your cooperation. Detailed agendas regarding the meeting will follow shortly. We will keep you informed as more information and details become available. The delegate fee includes the cost of the meeting room, lunch and the afternoon break.
FACILITIES AND LODGING:
We will meet on Friday, October 14th and Saturday, October 15th at the Best Western Salt Lake Plaza Hotel, 122 West South Temple, Salt Lake City, Utah. The Excom meeting will be held Thursday, October 13th on from 4 pm to 6 pm. The BOD meeting will be held on Friday, October 14th from 8 am -12 noon and Saturday, October 15th from 8 am to 5 pm in Eagle Gate meeting room. AWG will sponsor a professional development seminar entitled, “Communicating with Government Policy Makers about the Geosciences” on Friday afternoon from 1 pm to 5 pm. The AWG Salt Lake City Chapter will host an icebreaker on Friday evening from 5 pm to 7 pm.
If you are planning to stay at the Best Western, please call and confirm your reservation. I have held rooms at the AWG rate of $108/night (plus tax) for a single or double and $118/night (plus tax) for triples or quads. Please call 1-800-366-3684 and indicate that you are coming in with the Association for Women Geoscientists. There are only a limited number of rooms available, so I encourage you to seek a roommate and make your reservations soon.
MEALS:
Lunch on both days is included in you delegate fee. All other meals will be on your own.
AIRPORT TRANSPORTATION:
There is a free shuttle from the airport to the hotel. After you’ve retrieved your luggage proceed to the hotel kiosk and phone the hotel. The shuttles generally run every 1/2 hour.
ESTIMATED COST:
The delegate fee is $45. This covers the meeting room, included meals and other miscellaneous costs. Guests of Board members who wish to share meals and breaks with the board will pay $14/day. Payment instructions follow. Please add the cost of your guest’s meals to your delegate fee.
Other costs paid by participants will include lodging (about $108 per night including taxes), dinners, airfare, and possibly airport transportation.
The total cost of attendance (assuming two nights’ stay) will be about $200 plus airfare. In accordance with the draft Travel Policy, we recommend that participants ask their employers or regional chapters to contribute toward this cost to help defray the cost to the Association.

- Business cards to pass out
- Any information you want to distribute in electronic or hardcopy formBlank computer diskettes or USB drives for exchanging files
Meeting Preparations:
It's important for you to review as much information before coming to the board meeting. The more prepared everyone is, the more we will be able to accomplish. Please download and review the following documents. If you are a new delegate, please spend some time with the delegate that you are replacing and get some background information.
